Assistant

10 ways your rockstar assistant can make your life easier

When you feel like your case of the Mondays happens every day of the week, you may be suffering from overwhelm. Whether you are just starting a business, running a large corporation, or somewhere in between, the key to minimizing overwhelm is in your office. Not sure what it is? The answer is simple, your assistant.

According to a Gallup study, 39% of business owners work over 60 hours a week. That’s 20 more hours a week than a normal employee.  But how do you cut back on the number of hours you work each week? You delegate to your rockstar assistant.

What a rockstar assistant can do for you

A rockstar assistant can do more than just answer the phone; instead they are an extension of the executive. They often handle all of the day-to-day work and problems in the office, but they can also manage how your work and personal life intermingle. Their goal is to make your life easier, but you will never feel the benefits if you don’t let them in and hand over control. Here are a few things your assistant should be doing for you:

Meeting  support

Whether you're leading or attending a meeting, you need support. Your assistant can help support you by preparing any paperwork and materials you need before your meeting. You can also have your assistant attend meetings and take notes for a debriefing when needed.

Inbox filter

How many hours a day do you spend reading, writing, and deleting email? Instead of ignoring your inbox when you’re busy, hand it over to your assistant. Create a system for your assistant to place emails that need your attention, but also empower them to respond to lesser important messages on your behalf.

Manage your schedule

From planning your meetings to your lunch, your assistant should manage your calendar. Always communicate any important dates or messages to your assistant and have them pencil you in. Giving up control of your calendar is stressful, but when managed successfully, it is a huge weight off of your shoulders.

Date planner

Never miss buying a gift or being at a family function when your assistant manages important dates. Hand over your personal calendar and have your assistant keep you informed when a special day is near. You can even send your assistant out to shop for gifts as needed.

Coordinate vendors

When your email isn’t working, or you need an important fix, your assistant should be there. When it comes to working with vendors and coordinating service, have your assistant schedule and meet with all service providers.

Office equipment aficionado

Instead of worrying about learning how to use all of the technology in the office, stick to the basics. Have your assistant learn how to use the equipment and even create easy-to-use training manuals. When you need to fax an important document, or have something scanned, delegate it to your assistant.

Organize your travel

When your meetings require travel, delegate the travel planning to your assistant. Have your assistant handle all of your flight and hotel booking and transportation needs. Before you leave, have your assistant program your transportation details into your favorite app.  If there is a chance your flight may be delayed, have your assistant monitor your travel so that they can make changes and reschedule as needed.

Personal errands

When you’re building a company, time is precious. Sometimes you may need to ask your assistant to handle personal errands or schedule household repairs. Don’t be afraid to ask your assistant to take care of these tasks while you focus on work.

Project finisher

Some projects don’t require you to complete them. Since your assistant is an extension of you, don’t be afraid to delegate some of the projects to them. When you hand over projects, make sure you communicate clearly what is needed and when it is due. Regularly follow-up on the progress of the projects so that you will know the status and can answer any questions that may arise.

Noted notary

Legal documents always require a notary. Having your assistant become a Notary Public in your state will save you a lot of time and added expenses.

Learning curve

Your assistant is extremely important to your well-being and success, but training them isn’t always easy. That is where we come in. LifeSquire has created a professional assistant training program called LifeSquire Academy. When you send your assistant through this program, they not only learn the basics of how to be an assistant, but they will also learn how to meet and anticipate your needs, how to manage their time, how to create professional boundaries, and more. We feel these classes can take your assistant to rockstar level.  For more information, click here.

Need an assistant?

Did you know that it takes approximately 33 or more hours to find and place one employee? It could take even longer when you are looking for a certain set of skills. The time really adds up when you don’t find the perfect fit or the turnover gets high.

LifeSquire Connect goes beyond the typical cookie-cutter staffing agency and finds the perfect assistant (or any other support staff role) for you or your company. We find out what you need from the person in that role and customize our recruiting process to find you the perfect match.  You’re already busy without an assistant; you don’t need to add ‘hire an assistant’ to your to-do list. We can handle that for you. For more information, click here.

Be Merry and Bright with these 7 Tips for a Stress-Free Christmas

7 tips for a stress-free Christmas

We all wish Santa could do more than just deliver gifts. How nice would it be for him to bring all the people on his nice list a Hooville Christmas?

Unfortunately, you’re the one that is creating the Christmas magic. From planning the party to cooking the meals, your days will be filled with work and holiday cheer. But as the minutes tick away, and the days pass by, your stress levels will go up as the Christmas countdown goes on. So how do you turn your holiday stress into merriness? Follow these seven stress-free Christmas tips:

Christmas movies and chill

Pop some popcorn, pour a glass of wine, and grab your most comfy blanket, it’s time for Christmas movies and relaxation. Christmas movies often take the doom and gloom out of life by embracing the Christmas spirit. Take time for yourself or make it a family event, but turn on the Netflix and get into the holiday spirit.

Embrace the time-savers

Your Christmas feast can be quite the feat. Skip making everything from scratch and embrace going to some local businesses and order some of your Christmas foods. You can save a lot of time by getting the classic pumpkin pie from a local bakery or by ordering a cooked turkey instead of baking your own. Stick to making those special dishes only you can make and let some other experts handle the rest.

Calm the playful puppy

A tired pooch is a calm pooch. Instead of having your dog barking and excited to see your guests tire them out. Take your dog outside for some intense playtime and treat them with a toy that dispenses treats (like a Kong) before your guests arrive.

Put the fa-la-la in your playlist

Turning on your favorite playlist and relaxing or having an impromptu dance fest is a great mood boost. And while you probably still want to listen to the hottest new Spotify tunes, don’t forget to add the fa-la-la. Check out some Christmas playlists this month to put you into the Christmas spirit. You can also check out the LifeSquire December Playlist for a mix of modern and jolly tunes.

Sweat it out

Brave the cold and head outdoors for a little exercise. Not only is exercise outside more enjoyable, but you’ll get the added benefit of some Vitamin D. Even a five-minute trip outdoors can boost your mood and help lower your anxiety levels. Don’t put it off, just get out there and enjoy a nice walk.

Wrapping party

Make gift wrapping fun! Turn on some of your favorite Christmas movies, pour a glass of your favorite holiday drink, and enjoy some sweet Christmas treats. Have all the bow, labels, and tape ready to conquer the gift pile. Instead of seeing wrapping as another holiday chore, take the time to enjoy yourself by making it fun.

If gift wrapping isn’t your thing, your LifeSquire is available to wrap all of your holiday gifts.

Call Santa’s helpers

Adulting is hard and often extremely busy. When you add the holiday season on top of normal activities, the amount of free time you have can dramatically decrease. You’re not alone through the holiday season, so don’t be afraid to ask for help. Have your family members help cook holiday dinners, have your kids help wrap gifts for other family members, have your LifeSquire personal assistant run your errands, help you plan your parties, and other miscellaneous holiday-related tasks. Asking for help may be difficult, but you will feel a weight lifted off of your shoulders when you reach out.

Even though the holidays can be stressful, try to take the time to enjoy yourself, see the lights, and embrace the Christmas magic.

5 Ways a Personal Assistant Can Change Your Life

5 Ways a Personal Assistant Can Change Your Life.jpg

Have you ever been lying in bed, knowing how badly you need some rest but you just can’t drift off to dreamland? You lay there going over your to-do list and not knowing how you are going to do it all. Next comes prioritizing what has to be done, because you know you have to make up for the lost sleep. As the days go by, it can turn into an endless cycle of overwhelm. More sleepless nights, less time with the family, and never feeling like you are getting ahead, it doesn’t seem to stop.

From your work life to your personal life, you have so many tasks to accomplish in a week, and unfortunately, none of us can stop time. So, when you are feeling overwhelmed, it is time to consider getting a personal assistant. Your personal assistant will not only help you with your tasks but will give you peace-of-mind.  While there are a ton of things a personal assistant can do for you, here are five ways having one can change your life:

Laundry

Piles and piles of laundry are a burden, and after the washing comes the folding. Ugh. Think about how many hours a week you spend making sure your family doesn’t leave with smelly dirt covered clothing. But, laundry doesn’t have to be dreadful, and not just because you really love the smell of Tide. In fact, you don’t have to do your laundry at all. Your LifeSquire personal assistant is trained to wash and fold your laundry and will follow whatever specifications you want.

The little things

You’d be surprised how much time is spent doing the little things. Researching flights, hotels, reservations, oil changes, waiting for service providers, paying bills, and more add up to hours and hours of your time. Instead of worrying about how you are going to get to Florida to hop on your next cruise vacation, you can focus on having fun. All of these tasks can be delegated to your assistant. The little things are often more a time taker than the major things. Crazy, huh? Giving your assistant the ability to handle the little things, and even anticipate future tasks will take a lot off of your mind.

Answering emails

It’s easy for email to take over your life. From spam mail to important emails, it never seems to stop rolling in. As the emails pile up, there is a good chance you will miss important ones. Instead of rushing through or hitting delete all, delegate email management to your personal assistant. You can set-up an organization system to make sure you see all the important emails, and your assistant can help clear up the inevitable spam.

Event management

Entertaining is a lot of work. Think about how much time you spend scheduling the providers, addressing invitations, collecting RSVPs, and more. And even worse, you get stressed during the event because you aren’t sure things are running right. Did you know your events can be managed by your personal assistant? They will do the scheduling, invitation management, and whatever else needs to be done. On the day of the event, they can also make sure things run smoothly. Stress-free events may never happy, but a personal assistant can help reduce your stress levels.

Work-Life balance

Probably the most important way a personal assistant can change your life is by getting you an appropriate work/life balance. We know, it seems impossible, but we promise it can happen. We spend a lot of our time working and doing chores in our free time which often turns into less time for ourselves, for friends, and family. And when your availability suffers, your relationships also suffer. While we can’t extend the number of hours in the day, we do have a solution. Your personal assistant will give you more time by keeping you on schedule, reducing stress, running errands, school transportation for the kids, shopping, doing your errands, and more.
